Full-Time Veterinary Receptionist – NE/Grant Ave

PAWS is hiring a full-time Veterinary Receptionist for our Northeast/Grant Ave location!

An integral member of the team that operates PAWS’ Spay/Neuter and Wellness Clinic, the Veterinary Receptionist is responsible for maintaining the integrity and ensuring the smooth operation of the front-office of PAWS’ clinic. This includes, but is not limited to, scheduling, data entry, providing accurate, efficient, and courteous customer assistance in person and by phone, providing general information on all of PAWS’ services, and record-keeping. The Veterinary Receptionist interacts with the public – adopters, foster parents, and customers – on a regular basis and strives to provide a positive experience for these individuals at all times.


Duties include, but are not limited to:

  • – Perform general administrative and clerical duties including data entry of medical records and sales, scheduling of clinic and spay/neuter appointments, and customer support in person and via phone and email.
  • – Answer questions and direct the public in a pleasant and efficient manner and provide accurate and helpful information whenever possible.
  • – Uphold PAWS’ policies, procedures, and services, including listening to customers, empathizing or sympathizing and providing effective responses and remedies to their questions and needs.
  • – Ensure a rapid and courteous response to telephone calls and emails.
  • – Assist in the accurate collection of fees (making change, issuing receipts, balancing daily reports).
  • – Maintain accurate patient files and records and utilize Clinic HQ and ShelterLuv software to keep all animal-related records.
  • – Perform retail sales and handle payment for various services and products.
  • – Assist in inventory of office and other supplies to ensure that the front desk is always stocked and in working order.
  • – Promote a humane and caring attitude toward all animals and treat all animals humanely, properly and with compassion at all times, including those that are sick, injured, feral or aggressive.
  • – Assist staff and volunteers whenever necessary to ensure smooth, respectful handling of the public and their pets.
  • – Maintain a calm, pleasant, tactful, and professional demeanor at all times when dealing with the public, even in stressful situations.
  • – Assist in maintaining healthy, safe, sanitary, pleasant and clean facilities for the customers and animals under the care of PAWS. This includes keeping the front desk area clean and organized.
  • – Perform other duties as assigned.


Educational Requirements:

  • – High school diploma or equivalent required. Bachelor’s Degree or some college preferred.
  • – Some public contact/customer service experience required.
  • – Experience with animals (personally or professionally) preferred.

Ideal candidate is organized, personable, outgoing, patient, professional, able to get along well with a variety of people, innovative, flexible and motivated to develop and implement the goals, objective, and policies of the agency.

  • – Strong sense of initiative and ability to problem-solve, identifying tasks that need to be accomplished and prioritizing appropriately, working independently with minimal supervision and direction.
  • – Maturity, good judgment and a professional personal appearance.
  • – Ability to read, write and understand English.
  • – Flexibility, ability to manage multiple tasks and accommodate varied work assignments and schedules.
  • – The ability to ask appropriate questions to gather information along with the ability to feel and show empathy for others.
  • – The ability to turn people down, firmly when necessary, without becoming aggressive or unpleasant.
  • – Comfort and ability to work with animals of unknown disposition and those who may exhibit medical and other problems, as well as aggressive tendencies.
  • – Ability to communicate skillfully and effectively with a culturally diverse staff, volunteers and community in a professional, pleasant, respectful, courteous and tactful manner at all times.
  • – Computer proficient in Microsoft Office and internet based software such as Gmail/GSuite.


PAWS is open seven days a week. The ideal candidate would be available to work full time (a minimum of 8 hours per day, 40 hours per week), but part time candidates (minimum 20-28 hours per week) will be considered. Schedule does require at least one weekend day worked per week. Daily schedule and hours may vary according to the needs of the organization. This position is located at the PAWS NE Adoption Center and Low-Cost Clinic at 1810 Grant Avenue, on Grant Avenue between Bustleton and Roosevelt Boulevard in Northeast Philadelphia.

It is the policy of PAWS that non-exempt positions are governed by the needs of the agency, which means that employment is for no specified term and PAWS may terminate that employment at any time if it is reasonable related to meeting PAWS’ goals, for failure to meet goals, or for any infractions of PAWS’ rules. The Executive Director has final authority over these decisions and determinations. 


Introductory Assessment Period:

The introductory assessment period runs from the date of hire for three months thereafter. For employment in any position with PAWS, this introductory assessment period is the period during which the specifics of the job are learned. During this period, either the employee or PAWS may end the employment relationship without notice or prejudice.
